Commercial Administrator
Our client is a privately owned fuel oil distributor, established 15 years ago and currently ranked as the 6th largest oil distributor in mainland UK.
Starting salary £25,000-£28,000pa plus discretionary bonus.
They currently have a vacancy for a Commercial Sales Administrator to work in their Hartlepool Head office managing and processing customer orders and assisting with all other office/admin duties . This is a great opportunity for someone already working within the energy industry or who is working in a customer account administrator role looking for a new challenge.
The successful person will play a pivotal role in supporting the efficient operation of the Commercial Contracts department. You will be responsible for a variety of tasks, including managing communications, coordinating schedules, and providing vital support to our Commercial team members.
Demonstrable Competencies
- Commercial order entry: To assist with placing orders which come over via email/telephone.
- Communication Management: Answering phone calls, responding to emails, and routing enquiries to appropriate team members. Giving ETA’s of deliveries to customer as requested.
- Document Management: Maintain an organized filing system for both digital and physical documents, sending proof of deliveries as required.
- Collaborate with other departments to ensure seamless communication and efficient workflows.
- Daily management of orders and lifting reports, ensuring collections and deliveries are invoiced out in a timely manner and order balances are updated.
- Liaising with third party hauliers to book available slots.
- Collaborate with the commercial/contracts team on various projects, including research analysis.
- Assisting with month end processes.
- Schedule Coordination: Manage and maintain calendars, scheduling appointments, meetings, and events. Ensure all scheduling conflicts are resolved and appointments are optimized for productivity.
Behaviours & Experience:
- Proven experience as an administrative assistant or in a related role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment
- Strong organizational skills with keen attention to detail
- Excellent verbal and written communication skills
- Ability to prioritize tasks and manage time effectively
- Strong interpersonal skills and a customer-centric, business-best approach
- Familiarity with, and an understanding of commercial sales is a plus
- Ability to maintain confidentiality and handle sensitive information
